Job Summary

Administrative work providing support to the department as directed by the Vice President of Student Services, completing complex tasks as scheduling, budgets, requisitions and daily support operations of the department, as well as performs a multitude of clerical tasks.  Occasional assistance with oversight of direct reporting departments.

Essential Duties & Responsibilities

  • Type, copy, collate, and proof reports, minutes, budgets, manuscripts, correspondence, and word processing/data base/spreadsheet software, proofread for spelling etc.
  • Establish and maintain files and ensure completeness and accuracy.
  • Monitor and maintain department budgets.
  • Open, sort and distribute mail, prepare responses to routine requests, send, and receive faxes.
  • Screen phone calls and walk-in visitors to Vice President’s office, greet visitors and provide information in response to inquiries when possible and refer to other sources as directed.
  • Monitor and maintain inventory of all office supplies and materials, prepare purchase orders and other documents used by the Department of Student Services.
  • Prepare or assist with mailings and complete necessary forms.
  • Generate travel and budget requisitions, as well as Employee Action Forms.
  • Make travel arrangements, arrange itineraries and process associated paperwork.
  • Assist Student Service department heads with clerical duties, including those associated with work study students.
  • Coordinate and track new employee procedures.
  • Distribute reports after reviewing for confidentiality.
  • Process court and judicial affairs results and make sure the guidelines to the Cleary Act are followed.

Required Knowledge, Skills and Abilities

  • Knowledge of standard office procedures.
  • Ability to operate standard office equipment.
  • Proficiency in using the Banner system.
  • Good personal skills.
  • Excellent oral and written communication skills.
  • Ability to effectively communicate and work with a diverse population.
  • Ability to schedule, plan, attend and record all meetings as directed by the Dean of Student Services


Minimum Qualifications

High School Diploma or equivalency is required; Associate Degree preferred.  5 to 7 years office experience in an executive level office.
