Job Summary
Coordinates the grant planning, organization, and preparation, and the post-award administration of various grants assigned to all programs and departments of CUL. Interacts with the Finance/Compliance, Programming & Development staff to ensure grants are in compliance with regulatory, funding agency, and policy requirements. Provides guidance and support to Program and Development leadership in the identification and development of grant opportunities.
Essential Duties & Responsibilities
- Prepares and compiles all components of each grant submission, ensuring that the proposal is formatted, packaged, and submitted in accordance with granting agency requirements.
- Develops and maintains specialized databases and systems for recording and tracking grant proposals, awards, final reports and related information; creates and distributes standard and special reports, summaries, and analyses, as required.
- Develops and maintains a library of reference documentation, including such as funding agency requirements and forms, standard grant language and boiler plate templates, abstracts and reference literature, and other pertinent material.
- Provides summary of grant funding policies, regulations, and procedures; facilitates and supports the research and identification of funding opportunities on behalf of Program and Development staff.
- Maintains knowledge of grant funding policies, regulations, and procedures; disseminates and/or presents a summary of changes to direct supervisor and Program Sr. leadership and advises on the implementation of changes, and on the impact of changes on funded operations.
- Coordinates internal pre-award planning meetings and keeps regular communication with key internal stakeholders, documenting and managing grant submission timelines.
- Maintains grant calendar to ensure timely submission of letters of inquiry, proposal deadlines and reports (other reporting and management documents as required).
- Work with Advancement staff to conduct prospect research – and prepare prospect reports.
- Prioritize projects to keep multiple projects moving in a timely manner, meet deadlines and manage supplemental material required for proposals.
- Collaborates with Programs and Advancement staff to obtain and provide current program data, statistics and local statistics for grant content.
- Research data for populations served including needs, trends and other resources in the area.
- Proofreads funding documents; serves as reviewer/editor of draft grant submissions submitted by Program & Development staff.

Required Knowledge, Skills and Abilities
- Very strong project management skills to manage the post-award administration of various grants.
- Very strong writing skills for a variety of project types, including but not limited to solicitation letters, e-mail and web communications and newsletters.
- Strong communication skills including verbal, interpersonal and organizational.
- Ability to deal with confidential information in a sensitive manner, confidentiality required.
- Work closely with internal and external collaborators to provide visually appealing and cost-effective communication pieces.
- Provide management oversight of the post-award administration of various grants.
- Performs other duties as required.
Minimum Qualifications
- Bachelor’s degree and five years of related experience but a combination of education and experience may be considered. Master’s degree is highly desirable.
- Ability to deal with confidential information in a sensitive manner, confidentiality required.
- CFRE Preferred.
- Knowledge of Raisers Edge NXT, Microsoft Suite and Zoom Software.
- Strong communication skills including verbal, interpersonal and organizational.
